Minutes of the 9th Annual General Body Meeting for the year 2021-22 (AGM)
The 9th Annual General Body Meeting of the Bhopal Tamil Sangam was held on 18-7-2021from 11.15 A.M onwards at Pastoral Centre St. Joseph Co.Ed. School E6 Arera Colony Bhopal and the scheduled date at 10.30 A.M with General Secretary Report dated 26-6-2021 sent to all the members on 29-6-2021 by email/whatsApp.
Due to lack of quorum the meeting was adjourned for half an hour. In the absence of sufficient quorum the meeting was again adjourned for 15 minutes and the adjourned AGM starting at 11.15 A.M. Total 34 members were present at the quorum and the name of the members who were present for the meeting is recorded in the minute’s book. The following agenda items were taken up for discussion and consideration:
The Executive members absent:
Shri A.H. Rajkumar Sir informed that he is in Indore.
Shri V. Selvaraj informed that he is in Chennai.
Smt.R. Thirumalli informed that she is on duty.
Special Guests:
Respected Father Shri James, Father Shri Michael and Father Shri M. Stephen are special guests.
Meeting started with prayer:
The Special Guests, President Shri P, Raju of Bhopal Tamil Sangam, Shri Subramaniam Secretary of B.H.E.L. Tamil Sangam and Shri Suresh Iyer of Govindpur bhajan Samaj had lighting the lamp then prayer sungTamizhthai Vazhthu.
Condolence Resolutions:
The General Secretary Shri A. Swamidruai briefed the names of member’s relations who passing away in this month of June-July 2021, our few members and for Shri V. Selvaraju’s son in law and the members offered two minute’s mourns in memory of the departed souls.
Honour:
Shri S. Ramalingam Joint Secretary of B.H.E.L Tamil Sangam has been honored by shawls to Shri P. Raju, President of Bhopal Tamil Sangam.
Shri P. Raju, President of Bhopal Tamil Sangam has been honored by shawls to Father Shri James and Father Shri Michael.
Shri A. Sivakumar Treasurer of Bhopal Tamil Sangam has been honored by shawls to Shri Suresh Iyer of Govindpur bhajan samaj.
Shri P. Annadurai, joint secretary of Bhopal Tamil Sangam has been honored by shawls to Father M. Stephen.
The General Secretary Shri A. Swamidurai wished the Honourable members present. After that he requested President of the Bhopal Tamil Sangam Shri P. Raju Sir to address the gathering.
Welcome addresses by the President:
The President Shri P. Raju welcomed the members of Bhopal Tamil Sangam. He mentioned the cultural events on the festivals of Pongal and Tamil New Year. Bhopal Tamil Sangam did not conduct both the festivals cultural program during the years because of pandemic situation. He conveyed his thanks to members by electing him to serve the Bhopal Tamil Sangam as President. He remarked about the performance and aims of the BTS. He requested the members to share their views for the progress of BTS.
Report by the General Secretary:
The General Secretary Shri A. Swamidurai read out the minutes for the year 2019-20 held on 5th July 2020 and he presented the reports for the year 2020-21 and informed that:-
1. Bhopal Tamil Sangam (BTS) is running its 9th year. It is affiliated to Ulagath Tamil Sangam Tamil Nadu Government Institution Madurai and Organisation of All India Tamil Sangam Chennai.
2. BTS is a savings account operational in Canara Bank Indrapuri BHEL Bhopal.
3. BTS is has been allotted a PAN by the Income Tax Department.
4. BTS is also planning to make an application for its registration under 12A of Income Tax Act 1961 for the purpose of tax exemption.
5. BTS has 330 life memberships as on 31st March 2021.
6. BTS organized meeting with events from 01-04-2020 to 31-03-2021 total is 11.
7. BTS will not conduct Tamil New Year program in April 2020 and Pongal program in January 2021 due to Covid19. .
8 BTS has furniture which was donated by Shri V.Vijayakumar Sir, Shri C.S.Thiagaraj Sir and Shri A. Chinnasamy Sir
9. BTS is planning to organize teaching Tamizh during the summer period for those who are interested in their mother tongue.
10. Website of BTS is updated regularly and has provided information of the activities of BTS.
11. BTS has monthly meetings to meet on the third Sunday every month.
12. BTS has an estimated budget to celebrate for Pongal and Tamil New Year day for the year 2022 as well as possible help for the needy.
13. The Annual Report for 2020-21 and the minutes for 2019-20 of BTS have been printed in the Annual report and have been circulated to members by email date 29-6-2021 /whatsApp and also posted on BTS website.
Approval of reports:
The President informed the meeting that the minutes of all reports for 2020-21 and the minutes for 2019-20 have been printed in the Annual report and have been circulated to members by email 29-6-2021 / whatsApp and also posted on BTS website. The President Shri P. Raju requested that it may be considered as read. After the detailed information and reports with no further queries and the mentioned reports minutes were adopted by the members unanimously.
Presentation of Audited Accounts by the Treasurer:
Treasurer Shri A. Sivakumar read out the Audited balance sheet of BTS for the financial year 2020-21. He remarked that due to Covid19 no funding was raised during the pandemic period. He also requested to enroll membership from the near and dear. After the details the Audited Accounts statements were adopted by the General Body unanimously.
Appointment of Auditors:
The General Secretary proposed the Chartered Accountant of Smt. Sweta Modi for the purpose of conducting the audit of BTS for the Financial Year 2021-22. It was decided to Smt. Sweta Modi is Auditor reappointment at the present emolument of Rs.3000/- this was adopted by the members unanimously.
Proposal budget 2022-23:
The General Secretary presented the proposal budget for the year 2022-23 for celebration of Pongal and Tamil New Year day. He also explained the current funding position. The President Shri P.Raju requested the members to contribute for the same and the President himself agreed to help for BTS including land matters.
Proposed activities of BTS:
The present member says that they will make their contribution generously to be conducted by BTS.
Any other matter with the Permission of the Chair:
Father Shri James says that Tamil is one of the oldest languages in the world so it is necessary to speak in Tamil whenever needed.
Shri Subramaniam Secretary of B.H.E.L Tamil Sangam says that he is very much appreciated the activities of Bhopal Tamil Sangam and the Executive Committee.
Shri S. Suresh Iyer of Govindpur bhajan Samaj says that first to enroll membership so that funding will increase smoothly. He thanks the President Shri P. Raju and Executive Committee for the activities.
Shri C.S. Thiagarajan Senior officer (retired) from BHEL says that he will support the BTS and he appreciated the activities of the Sangam.
Shri S. Ramalingam joint secretary of B.H.E.L. Tamil Sangam has expressed its thanks to the President Shri P.Raju of Bhopal Tamil Sangam. He further says that he is very much appreciated the executive committee activities and his support with the BTS.
Father Shri M. Stephen says that he is feeling well for the Bhopal Tamil Sangam activities and unity and integration. It is more important to unite Tamils.
Shri P. Nagaraj, President of Mariamman Temple Berkhera BHEL Bhopal says that whenever needed he is ready to support the Bhopal Tamil Sangam including conducting meetings at their temple campus.
Adopted:
The President Shri P. Raju had informed that he will keep supporting and uplifting the objectives of BTS. There were no further queries and the mentioned reports minutes were adopted by the members unanimously.
Vote of thanks:
The General Secretary Shri A. Swamidurai thanked the members and the guests and thanked other members who could not attend todays' AGM. The meeting came to a close at 12.35 noon and was served by lunch. The President Shri P. Raju Sir has paid the lunch expenses.
Adjournment:
The Annual General Meeting ended with the National Anthem and was adjourned.
